Guide
How to choose an event agency in India.
There is no single best event agency in India — the right choice depends on whether you need a festival IP built, a show produced in a specific region, artists curated, or tickets sold. The useful questions are who holds the vendor network, who is accountable on site, and whether the agency has ever carried its own risk.
Written by an agency, so read it with that in mind. We have tried to make it the guide we would have wanted before hiring anybody.

Most disappointment with event agencies comes from hiring one kind for another kind of job.
- IP creation. You want a festival or property of your own. This is a long engagement, usually on retainer, and portfolio matters less than process.
- Production. The show exists; you need it built somewhere. Here the only things that matter are the local network and who is accountable on show day.
- Artist curation and booking. Relationships and judgement. Can be bought entirely on its own.
- Audience and ticketing. Filling the room. A completely different skill from building the stage, and frequently the one nobody was hired for.
Questions worth asking anyone, including us
- “Do you own the vendor relationships, or will you subcontract this?” A broker adds margin without adding control. Ask for named vendor categories and how long they have worked together.
- “Who is on site, and can they decide?” One accountable person with authority beats a large team that has to phone head office.
- “Have you ever run an event with your own money at risk?” Agencies that have only ever spent client money make different decisions. It is a fair question and a revealing one.
- “What will you say no to?” An agency that agrees to every date, budget and ambition is telling you something.
- “How will we know if ticket sales are failing — and when?” Week one, or week six?
- “What does this cost, and what is not included?” The exclusions are the whole conversation.
Where GIFLIF sits
We do all four of the jobs above, and we will tell you when you only need one. We are strongest in Madhya Pradesh and Delhi NCR, where we hold the vendors, venues and permissions directly; artist curation is pan-India. And to the hard question above: yes — we have run our own festivals with our own money since 2015, fourteen editions of them.
Questions we get asked
Which is the best event management company in India?
There is no single answer, because event agencies specialise. Large national agencies handle scale and corporate work; regional specialists hold the vendor and venue networks in their own markets; curation-led firms build festival IPs. The right question is which of those jobs you actually need.
What should an event agency cost?
Production is normally quoted per project against a scope. Festival IP work usually runs on a monthly retainer, because the work continues between editions. Be wary of a quote given before anyone has asked about the venue or the season.
Should we hire a national agency or a regional one?
For a single show in one city, a regional specialist who holds the local network is usually faster, cheaper and more reliable. For a multi-city rollout, a national agency or a regional partner in each market. What rarely works is a distant agency subcontracting a city it does not know.
How early should we appoint an agency?
For a concert, six to eight weeks is comfortable. For a festival built from scratch, six to nine months — the line-up and the permissions set that timeline, not the production.
